# Privacy Policy

Last updated September 30, 2026

This Privacy Policy describes how Swayvia ("we", "us", "our") collects, uses, and shares information when you use this website (the "site") and when we text, call, or email people for the businesses we serve. It covers the site and those services.

## Who we are

The site is operated by Swayvia.com. Contact details are at the end of this policy.

We hold two roles. For visitors to the site and people who ask us to contact them, we decide how the information is used, and this policy is the whole story. When we text, call, or email someone for a business we serve, we act as that business's service provider and use the information only to run its outreach. That business's own privacy policy may also apply.

## What we collect

- **When you book a call.** Your name, email address, mobile number if you give it, business name, what you tell us about what you sell, the call you picked and its time, your time zone, and your answers to the booking questions.

- **When you use the contact form.** Your name, email address, your message, and your business name and mobile number if you give them.

- **Request and consent records.** For both forms we record the time, the page you used, your IP address, and your browser's user agent. If you tick the consent box, we also record the consent text you agreed to and when, so we can prove you asked us to reach you. We also keep any opt-out or stop request.

- **How you found us.** When you first open a page on this visit, we note any campaign tags in the link (source, medium, campaign, term, content), the domain of the site that linked you here, and that first page. If you then book a call or send a message, we save those with your request. Only the first visit that leads to a request is kept; later visits do not replace it.

- **When you chat with Ivy.** Ivy is the AI assistant on this site. We store each message you send and each reply, the page you asked from, and your IP address, and we read these conversations to learn what visitors want to know. Ivy cannot see your bookings or anything else about you. If you use the microphone button, your browser turns your speech into text with its own speech service, and we receive only the text.

- **When we text, call, or email you.** Your name, phone number, email address, and business name; the messages you send and receive; call recordings and transcripts; what you asked about, times you booked, whether you attended, and whether you were transferred to a business; and technical data such as carrier, delivery status, and call length.

That information comes from you, from the businesses we serve (who give us lists of their own past customers and leads so we can contact them on the business's behalf), and from our own systems, which record calls and messages and keep consent and opt-out records.

We also keep simple first-party visit counts. For each page view we store the day, the page, the domain of the site that linked you here, any campaign tags in the link, and whether the device is a phone or a computer, plus a visitor code made by scrambling your IP address and browser details with a random value that is replaced every day and then deleted. Because that value is gone, the code cannot be traced back to you or matched from one day to the next. We do not store your IP address with these counts or set a cookie for them; to stop abuse, a short rate-limit record of the IP address is kept and deleted within a day. On the booking page we count, the same way, how many visitors reach each step. No analytics or advertising scripts run in your browser, and we do not buy information about you from anyone.

## How we use it

- To schedule, confirm, move, or cancel the call you booked, and to send you the emails and calendar invite that go with it.

- To answer your message and follow up about your request.

- To text or call you about your request, when you have given consent, including with an AI voice assistant, to transfer you to the business you are trying to reach, and to book appointments.

- To record and transcribe calls and messages for quality, training, and record-keeping.

- To keep proof of your consent and honor your opt-outs.

- To keep the site secure, prevent fraud, resolve disputes, and stop abuse, for example by limiting repeated form submissions.

- To meet legal obligations.

## Who we share it with

We do not sell your personal information. We share it only with service providers that run parts of the site for us, and only what each one needs:

- **An email delivery provider** sends booking emails and keeps your name and email address in our contact list there, so we can reach you about your request.

- **A calendar provider** holds the event for your call on our own calendar, with your name, contact details, and notes so we are prepared. Nothing is added to your calendar unless you accept the invite we send.

- **An AI provider** receives your chat messages, with the conversation so far, to write Ivy's replies.

- **Messaging, telephone, and AI providers** deliver our texts and calls and may process recordings and transcripts to summarize conversations and identify appointments.

- **The business we are contacting you for,** so it can respond to your request, honor your appointment, and follow up.

- **Our hosting provider** stores the site and its database.

- **Law enforcement or regulators** when the law requires it, and **a successor** in a merger or sale, with notice on this page.

**No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.** Text messaging opt-in data and consent records are not sold or shared for marketing purposes.

## Cookies

This site sets one cookie on public pages: a session token that protects our forms from forgery and, for that visit, remembers how you arrived (described above) so it can be saved if you book a call or send a message. No advertising cookies, no third-party trackers, and no fonts or scripts loaded from anyone else's servers. The chat keeps a conversation code in your browser, which is not a cookie. The details are in our [Cookie Policy](https://swayvia.com/cookies).

## Text messages

By checking the consent box on our forms, you agree that Swayvia may send you text messages at the mobile number you provided about your request and our services, and these may be sent using automated technology. Consent is not a condition of any purchase. Message frequency varies. Message and data rates may apply. Our [SMS Messaging Policy](https://swayvia.com/sms-policy) has the full detail.

Reply **STOP** to any message to end texts from that number. Reply **HELP** for help. We honor any clear request to stop, in any wording. Opting out of texts does not automatically stop calls or email, so tell us through our [contact page](https://swayvia.com/contact) if you want those stopped too, and we will honor it on every channel.

## Calls, recording, and AI assistants

If you ask us to call, we call only during the hours the law allows where you are, which can be narrower than the federal 8 a.m. to 9 p.m. window. If a call is with an automated assistant, it will tell you so at the start and again if you ask.

Calls and messages may be recorded and transcribed. By continuing a call after being told it may be recorded, you agree to the recording, to the extent consent is required where you are.

If you ask to be called during a text, email, chat, or phone conversation with us, our AI assistant may call you back at the number you give us. We will first ask you to confirm that you agree to an AI-assisted call. That callback is for your request only and does not sign you up for ongoing calls.

## AI-assisted communications

Some of our calls, texts, and emails are handled by an AI assistant. Where the law requires, the assistant tells you it is an AI system. If you ask to speak with a person, we will connect you or flag your request for a person to follow up. Recordings and transcripts may be processed by AI tools to summarize conversations and identify appointments. We do not sell your information or use it to train AI models for anyone else.

## Email

We email you the confirmation for a call you book, any change you make, and a notice if it is canceled. These emails come from an address that does not receive mail; for questions, use the [contact page](https://swayvia.com/contact). Any marketing email we ever send has an unsubscribe link, and unsubscribing never cancels a call you booked.

## How long we keep it

- **Booking and contact records:** while we have a business reason to, and sooner if you ask.

- **Consent and opt-out records:** at least five years, so we can show we honored your choices.

- **Call recordings and transcripts:** up to 24 months, unless needed longer for a dispute or a legal reason.

- **A business's contact list:** deleted within 14 days after that business's campaign ends, except the opt-out records we keep so you are not contacted again.

## Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit and encrypted storage of our calendar connection. No method of transmission or storage is completely secure.

## Your rights

You can ask what we hold about you, ask us to correct it, export it, or delete it, and you can object to how we use it. Send the request through our [contact page](https://swayvia.com/contact) using the email you gave us, and we will confirm it there. Deletion removes your details and keeps only a record of your opt-out. If your information came from one of our business customers' lists, we may refer your request to that customer as well. Depending on where you live, you may have additional rights, such as knowing what we collect and not being treated differently for using these rights.

To tell us not to sell or share your personal information, use the [Your Privacy Choices](https://swayvia.com/privacy-choices) page. We honor the Global Privacy Control signal: when your browser sends it, we do not add you to our email provider's contact list.

## Children

The site is for businesses and adults. It is not directed to anyone under 18, and we do not knowingly collect information from them.

## Changes to this policy

We may update this policy. Changes are posted on this page with a new "Last updated" date.
